What does an event management system do?

An event management system replaces the spreadsheets and separate tools behind an event with one platform. It runs registration and ticketing before the doors open, accreditation and check-in at the door, and reporting after. Spextacle is event management software built for organizers in Saudi Arabia and the UAE, and it covers all three.

Spextacle is an enterprise, multi-tenant event management platform for high-profile events. What it covers:

  • Registration and ticketing

Multi-step forms, tiers, dependents, promo codes and waitlists, with payments through gateways such as Stripe.

  • Approvals

Up to three approval stages, each with its own role-based approvers.

  • Badges and credentials

Badge design with live preview and field mapping, barcodes and event cards, generated in batches and printed to PVC badge printers.

  • Zone access control

Venues, floor plans and zones with capacity and time windows, tier-based entry rules and deny-first checkpoints.

  • Offline check-in

A scanner app that reads QR codes and NFC with no network, then syncs in the background.

  • Agenda and exhibitors

Multi-day agendas, and exhibitors, booths and sponsors alongside ticketed halls.

  • Event app

An event app, part of the same platform as registration and check-in.

  • Analytics and audit trail

Gate throughput, zone occupancy, session attendance and revenue, live and exportable, with an immutable audit log.

Spextacle sums up the scope in one line: "Every participant, from invitation to the door."

How do event registration and ticketing work in Spextacle?

Spextacle is an event registration and ticketing platform for Saudi Arabia and the UAE that takes each participant from the first form to an approved ticket. Registration runs on multi-step forms with tiers, dependents, promo codes and waitlists, and each registration can pass up to three approval stages with role-based approvers.

  • Multi-step forms, with a tier for each kind of participant.
  • Dependents, registered with the participant they belong to.
  • Promo codes and waitlists.
  • Up to three approval stages, each with role-based approvers.
  • Payments through payment gateway integrations, Stripe among them.
  • Integrations with identity providers, such as Microsoft Entra ID, and with email providers.

Conferences and forums use delegate tiers and staged approvals. Corporate and private events use private registration with approval routing. Ticketing runs in the same platform as registration and approvals.

How does event accreditation work in Spextacle?

Event accreditation issues each person the right credential and decides which areas it opens, such as VIP, media, crew or service-provider access. In Spextacle, approved participants receive badges designed and printed in the platform, and tier-based entry rules decide which zones each badge opens. Checkpoints are deny-first, so a badge opens only what its rules allow.

The accreditation flow, from form to gate:

  1. Register

The participant completes a multi-step form and joins a tier.

  2. Approve

Up to three approval stages clear the registration, each with its own role-based approvers.

  3. Issue

Badges are generated in batches from a design with live preview and field mapping, each with its own barcode.

  4. Print

Badges print to PVC badge printers straight from the browser.

  5. Scan

At each checkpoint, the scanner applies the zone's tier-based entry rules and denies anything they do not allow.

  6. Audit

Gate throughput and zone occupancy show live, and an immutable audit log keeps the record.

Under the flow sits the venue itself. Spextacle maps venues and floor plans in an SVG floor plan editor, gives each zone a capacity and a time window, and adds room and traffic control and monitoring while the event runs. That is the work event accreditation software in Saudi Arabia is asked to carry, from a trade show hall to a protocol checkpoint.

Does check-in keep working when the venue's connection drops?

Yes. Spextacle's scanner is an offline progressive web app (PWA) that reads QR codes and NFC with no network, against an encrypted manifest held on the device. When the connection returns, it syncs in the background.

Spextacle describes it as offline-first scanning "that holds when connectivity drops." What that means at the gate:

  • QR and NFC scanning with no network.
  • An encrypted manifest stored on the device.
  • A deny-first policy: a credential the rules do not allow is refused.
  • Background sync once the network is back.

As event check-in and badge printing software, Spextacle also manages the event's devices and printing, and it integrates with badge printers and scanning hardware.

Does Spextacle include exhibitor management and an event app?

Yes. Spextacle covers the agenda and exhibitors, and includes an event app. At exhibitions and trade shows it manages exhibitors, booths and sponsors alongside ticketed halls, and its analytics report gate throughput, zone occupancy, session attendance and revenue, live and exportable.

  • Agenda

Multi-day agendas for conferences and forums, with session attendance in the analytics.

  • Exhibitors and sponsors

Exhibitors, booths and sponsors alongside ticketed halls, with badge-scanned entry across every zone.

  • Event app

An event app, part of the same platform as registration and check-in.

  • Analytics

Gate throughput, zone occupancy, session attendance and revenue, live and exportable.

  • Monitoring

Room and traffic control and monitoring across the venue.

  • Audit trail

An immutable audit log of the event.

This is where Spextacle works as exhibitor management software: exhibitors, booths and sponsors sit in the same platform as registration and access control, not in a separate tool.

Which events is Spextacle built for?

Four kinds: conferences and forums, exhibitions and trade shows, government and protocol events, and corporate and private events. Each one stresses an event management system differently, from staged delegate approvals to protocol-grade access control.

  • Conferences and forums

Multi-day agendas, delegate tiers and staged approvals.

  • Exhibitions and trade shows

Exhibitors, booths and sponsors alongside ticketed halls, with badge-scanned entry across every zone.

  • Government and protocol

Protocol-grade access control, zone clearances, deny-first checkpoints and a complete audit trail.

  • Corporate and private events

Private registration, approval routing and controlled access to restricted areas.

Bring your format, tiers and zones to the demo, and you will hear plainly whether Spextacle fits.

What does an event platform need in Saudi Arabia?

It must treat attendee data as personal data under the Personal Data Protection Law (PDPL), which SDAIA says applies to any processing of personal data involving individuals in the Kingdom, by any means. Enjz, the National Events Center's unified platform for event-sector e-services, issues event licenses in coordination with the relevant regulators.

  • Registration forms, badges and check-in records hold personal data, so the PDPL reaches all of them.
  • The PDPL lists biometric data used to identify a person as Sensitive Data. Face-recognition check-in needs a design and a legal basis that treat it that way.
  • Enjz handles the procedures for hosting events, including licensing for entertainment, sports, cultural, exhibition and conference events, in coordination with the relevant regulators.
  • Matloob, the National Events Center's second platform, connects organizers and service providers with opportunities in Saudi events and seasons.
  • Arabic and English, local payment methods and VAT invoices are standard buyer questions.

On Spextacle's side: each tenant runs on its own database, and every role, from the registration desk to the gate steward, works in English and Arabic. Where attendee data is hosted, and how PDPL is handled, are questions to put to the demo, as you would with any vendor.

Why is demand for event management software rising in Saudi Arabia?

Because Saudi Arabia is adding event capacity and audiences fast. In November 2025, SCEGA reported a 32% rise in business-events capacity over the previous year, across 923 accredited venues, and the fifth Riyadh Season drew a record 20 million visitors.

  • SCEGA's report on events infrastructure highlighted rising investment in business event and exhibition facilities, in line with Saudi Vision 2030.
  • The General Entertainment Authority announced the Riyadh Season record on 18 February 2025.
  • Expo 2030 Riyadh will run from 1 October 2030 to 31 March 2031 under the theme "Foresight for Tomorrow." It aims to welcome 197 countries and receive over 40 million visits.
  • IMARC Group estimates the Saudi event management software market at USD 66.5 million in 2025 and forecasts USD 129.6 million by 2034, a compound annual growth rate of 7.70% over 2026 to 2034. These are a research firm's estimates, not official figures.
  • IMARC links that growth to more corporate events and a growing focus on collaboration and networking.

More capacity and larger audiences mean more credentials, more checkpoints and more data to manage. That is the load an event management system has to carry.
